Which event merch fits your format?

Event merch lives and dies on two things: cost-per-impression and whether you actually ordered enough. At a music festival with 3,000 attendees or a community fun run with 800 entrants, you're not buying one thoughtful gift — you're buying impressions in bulk. Different setup, different priorities.

What event organisers and expos order most often:

  • Wristbands — the non-negotiable for ticketed events. Tyvek, silicone or fabric. Tyvek is cheapest and tamper-evident for gate control. Silicone wristbands become a keepsake. Festival-goers wear them for weeks after the event.
  • Lanyards — staff, volunteers, media, VIP. Branded with your event name or sponsor logo. Works double duty as access control and walking billboard. Browse our tradeshows range for conference lanyard options too.
  • Stubby holders — music festivals, outdoor events, pub nights, sporting events. Genuinely one of the cheapest cost-per-impression items going. Full-colour print, lightweight, takes a full-colour wrap design.
  • Hand fans — outdoor summer events, school fetes, community days. Cheap, practical in the heat, logo is visible every time someone uses one. Hard to beat for an event freebie at a hot-weather gig.
  • Tote bags (non-woven) — expos, registrations, show bags. The venue logo goes home with the attendee. Not premium, but very cheap at volume and useful enough that most people don't throw them away immediately.
  • Branded sunscreen — outdoor festivals, fun runs, school carnivals, beach events. SPF30 or SPF50. Practical, genuinely appreciated, carries the brand through the whole day.
  • Drink bottles — event registration packs, participant bags. See our drinkware category for the full range of bottle styles.
  • Glow sticks and novelties — night events, concerts, kids' events. Super cheap, pure atmosphere. No one needs a glow stick, but everyone wants one at a show.

Volume vs quality — the honest trade-off

Event merch is usually bought on a tight budget across a big headcount. Here's how we'd frame the decision:

  • Under $2 per unit, high volume (500+): wristbands, hand fans, glow sticks, non-woven totes. Low per-unit cost, single use is fine, logo gets seen.
  • $2–$6 per unit, medium volume (100–500): stubby holders, sunscreen, basic lanyards, cheap drink bottles. Gets used during the event and sometimes after.
  • $6+ per unit, lower volume (25–150): silicone wristbands, quality lanyards, insulated bottles, premium tote bags. For VIP packs, sponsor gifts or staff kits where quality actually matters.

The mistake we see most often is underordering. Events almost always run short on merch, never long. Build in at least 10% extra unless you specifically want scarcity.

Branding methods on event products

  • Full-colour digital print — the standard for stubby holders, tote bags, hand fans and most event novelties. No colour limit, short setup time, handles detailed artwork and sponsor logos well.
  • Screen printing — for wristbands, lanyards and bags in volume. Cost-effective above 100 units with simple artwork.
  • Dye sublimation — full wrap-around prints on lanyards and bags. When you want the whole item branded, not just a logo patch.

Most event merch uses full-colour digital print because you're often managing multiple sponsors or complex artwork. Check our artwork requirements page before you send files.

Minimums, lead times and pricing

Event merch minimums are generally low: wristbands from 100 units, stubby holders and hand fans from 50, lanyards from 50. Pricing falls sharply above 250 and again at 500+.

Standard turnaround is 2–3 weeks from artwork approval. Event deadlines are real — tell us your event date upfront. Rush jobs on locally stocked items can land in 5–7 business days, but that buffer disappears fast when you factor in proofing and approval. Don't leave it late. Check our shipping & lead times page for current timing.

Every order gets a free visual proof before production. Particularly important for event merch where the artwork is usually more complex.

Frequently asked questions

What's the cheapest branded merchandise for a festival or community event?

Tyvek wristbands, hand fans and non-woven tote bags are typically the lowest cost-per-unit options. Stubby holders and basic lanyards aren't far behind. For full-colour branding at under $2 a unit, these are your best bets at 500+ quantities.

How much lead time do I need for event merchandise?

At least 3–4 weeks from when you place the order, to give yourself time for artwork proofing, approval and delivery. Cutting it to 2 weeks is possible on locally stocked items with simple artwork, but it's a gamble. Tell us your event date when you enquire and we'll be straight with you about what's achievable.

Can you handle merchandise orders for large festivals or expos?

Yes. We've supplied events from 200 to 10,000+ attendees. The bigger the order the more important it is to lock things in early — larger runs sometimes need to ship from overseas suppliers with longer lead times. Get in touch early and we'll plan it properly.

Do you supply wristbands for ticketed events?

Yes — Tyvek (paper-like, tamper-evident, cheapest), silicone (soft, keepsake quality) and fabric (premium, used for multi-day festivals) are all available. Tell us your attendee number, event duration and whether you need sequential numbering or barcoding.

Ready to lock in event merch?

Tell us the event, the date, your rough attendee numbers and what items you're thinking — we'll put together a costed options list with a free visual proof. Get in touch or request a quote now. The earlier the better.
