Plan the Pack Around the Delegate Journey
Map what happens from registration to the trip home. A lanyard and clear badge help at check-in. A pen and notebook support sessions. A tote carries the programme and sponsor material. A reusable cup or bottle may suit the venue. Each item should earn its place; delegates can spot a bag of filler from across the exhibition hall.
Registration and Identification
Confirm the badge size, orientation, access information and how it attaches before ordering lanyards or holders. Organisers, speakers, exhibitors and delegates can use colour coding where it genuinely helps. Safety breakaways and other fittings are available on selected lanyards, but venue and workplace requirements should be confirmed for the exact product.
Session Tools and Carry Items
- Notebooks and notepads: choose a format that fits the session length, writing style and bag without adding unnecessary bulk.
- Pens: prioritise reliable writing and comfortable use, then coordinate colours and artwork with the event identity.
- Tote bags: size the bag around everything attendees receive, including any drinkware or sponsor packs added on the day.
- Portfolios: suit smaller executive events, training days and programmes where documents need more structure.
- Tech accessories: can support hybrid events and travelling delegates when they solve a clear problem instead of merely looking clever.
Give Sponsors Room Without Creating Logo Soup
Multiple sponsors can share an item, but the layout needs hierarchy. Agree which marks appear, their relative size, colour treatment and approval process before production. A simple event logo on the product and a sponsor panel on packaging or printed material may read better than squeezing twelve marks onto a pen.
Use vector artwork where possible and settle colour references early. The Pantone guide helps when spot colours are specified, while the printing processes guide explains why the same artwork behaves differently on fabric, paper, metal and plastic.
Real-Life Event Packs
- One-day conference: badge, lanyard, pen and compact notepad, with the programme delivered digitally or as a slim insert.
- Multi-day industry event: a sturdier tote, useful drinkware and writing tools designed to survive several sessions and the journey home.
- Executive roundtable: a restrained notebook or portfolio with subtle branding and no avalanche of low-value extras.
- Training roadshow: consistent packs divided by location, clearly carton-labelled and scheduled around each venue date.
Quantities, Deadlines and Delivery
Count delegates, speakers, crew, sponsors, replacements and a realistic buffer. If several products come from different suppliers, allow time for all components to arrive, be checked and packed. Confirm venue access, delivery hours and contact details too; a beautifully branded carton waiting at the wrong loading dock is not networking.
Work back through the shipping and lead-time guide, then browse trade show products, lanyards, tote bags, notebooks and portfolios.
Conference Merchandise FAQs
What should go in a conference pack?
Include products that support the event journey: identification for check-in, writing tools for sessions and a bag only if attendees need one. Add drinkware or tech when the venue and programme make it useful.
How many extra conference packs should we order?
Allow for crew, speakers, late registrations, replacements and any sponsor commitments. The right buffer depends on the event, so calculate it deliberately rather than hoping the registration list behaves itself.
Can conference packs go to multiple venues?
Multi-location delivery can often be arranged. Provide each venue, date, contact, delivery window and pack quantity before quoting so freight and carton labelling are planned properly.
